Role Summary

We are seeking a Senior CRM Manager / CRM Automation Specialist with 3+ years of hands-on CRM experience in GoHighLevel (GHL) and/or HubSpot. This is a fully remote, project-based role focused on building, optimizing, and automating CRM systems for Marvic Hub  clients.

You will own end-to-end CRM delivery, from architecture and pipelines to automations, reporting, integrations, and team enablement. The ideal candidate is both strategic and deeply technical, with strong experience in lifecycle marketing and sales automation.

Project Scope & Objectives

You will be responsible for designing and delivering CRM systems that:

  • Improve lead capture, qualification, and conversion

  • Automate client onboarding and retention journeys

  • Reduce manual sales/admin workload through smart automation

  • Create clear, measurable reporting for revenue and funnel health

  • Integrate CRM with ads, landing pages, calendars, telephony, and AI assistants

This role heavily involves CRM automation, including workflows, segmentation, triggers, lead scoring, attribution, and multi-channel communications (email/SMS/WhatsApp/calls).

Key Responsibilities

1) CRM Setup, Architecture & Optimization

  • Audit Marvic Hub’s  client CRMs.

  • Build and maintain scalable CRM structures:

    • Pipelines, deal stages, lifecycle stages

    • Custom properties/fields

    • Contact/company records and segmentation logic

  • Ensure CRM best practices for data hygiene and process alignment.

  • Optimize funnel flow for multiple business types (local services, multi-location, e-commerce, professional services).

2) CRM Automation & Workflow Engineering

  • Design and deploy automation systems that support acquisition, nurture, conversion, onboarding, retention, and reactivation.

  • Build advanced workflows such as:

    • Lead capture → routing → qualification → appointment → follow-up

    • Multi-step nurture sequences (email/SMS/voicemail drops)

    • AI receptionist hand-offs and escalation logic

    • Post-purchase onboarding + renewal reminders

    • Win-back and churn prevention campaigns

  • Implement lead scoring and behavioral triggers.

  • Maintain automation documentation and version control.

3) Integrations & Technical Implementation

  • Integrate CRM with:

    • Landing pages/forms

    • Google Ads / Meta Ads lead sources

    • Calendars and booking systems

    • Telephony, WhatsApp, SMS systems

    • Stripe/payment systems

    • Zapier/Make/API connections

    • AI tools (chatbots, AI receptionist, agent workflows)

  • Troubleshoot and resolve integration failures and data sync issues.

4) Reporting, Analytics & Attribution

  • Build dashboards for sales performance, pipeline velocity, conversion rates, CAC, LTV, and churn indicators.

  • Set up campaign attribution and source tracking.

  • Deliver weekly or milestone-based reports with insights and action items.

  • Proactively identify bottlenecks and propose improvements.

5) Team Enablement & SOP Development

  • Create SOPs, training guides, and Loom walkthroughs for internal teams and clients.

  • Train sales/admin users on correct CRM usage and automation logic.

  • Act as CRM owner ensuring adoption and process compliance.

Required Qualifications

  • 3+ years of CRM management experience with GoHighLevel (GHL) and/or HubSpot.

  • Proven experience building CRM automations/workflows at scale.

  • Strong understanding of sales pipelines, lifecycle marketing, and lead management.

  • Hands-on experience with integrations (Zapier, Make, webhooks, APIs).

  • Ability to translate business goals into CRM logic and automation.

  • Excellent English or French communication (written + spoken).

  • Reliable, proactive, able to deliver independently in a remote setting.

Preferred / Nice to Have

  • Experience in digital marketing agencies or multi-client environments.

  • Basic Familiarity with SEO/GEO/AEO client workflows.

  • Basic Experience with AI-assisted CRM features (AI receptionist, chatbot routing, automated QA).

  • Basic Knowledge of PPC/paid lead funnels and attribution setup.

  • Experience supporting multi-location/local service businesses.

By the end of the project, you will have delivered:

  • A fully optimized CRM architecture for Marvic Hub assigned clients.

  • Automated workflows covering the full customer lifecycle.

  • Clean reporting dashboards with actionable insights.

  • Documented SOPs and training assets.

  • Stable integrations and tested automation reliability.
